Set up your appointment booking service

Introduction

Book Online is a tool designed to allow your customers to schedule appointments with your business from a mobile friendly website. Simply add the link to your website and you are all set!

  • Schedule appointments using the custom webpage or over the phone

  • Take deposits at the time of booking.

  • Employees have their own login to see their schedule.

  • Customers receive a confirmation Email / SMS at time of booking

  • Customers can receive a reminder Email / SMS

Initial Setup

Book Online is accessed through the Clover dashboard

  • Log into your clover.com dashboard

  • Select Book Online from the sidebar (you may need to click More > My Apps)

Add Business Information

Click on the About Us link in the side bar to start customizing your business information.

Note: Setting your business hours restricts the times you can offer appointments

Customize Settings

Setup Calendar

Add the details for your calendar view and how far out customers can book.

Link Google Calendar

Book Online allows you to integrate your appointments with your Google Calendar. Sign in with your credentials and future appointments will be added so you can get notifications when customers book and also when they cancel.

Session Calendars show each employee with a different color to allow you to quickly see who has a session coming up.

Your Google Calendar is synced to the Book Online calendar. If you cancel the appointment in Google Calendar, it will be cancelled for the customer.

Choose Appointment Types

Book Online allows you to customize what types of Appointments you offer. You can offer:

  • One on One appointments (e.g. Golf Lesson, Hair Styling, Oil Change)

  • One to Many appointments (e.g. Yoga Class, Cooking Lesson)

  • Both

Select the option that is right for your business.

Setup Services / Sessions

Click on “Services” to add Categories and Services that you offer. These will appear on the Booking Page for customers.

Add Category

First, create a Category by clicking Add Category. This allows you to list similar services together for easier booking by a customer.

Add Service

Click Add Service and enter the details. You can add the following information:

  • Service Name

  • Description

  • Photo

  • Service Time

  • Buffer Time (restricts calendar for the Staff Member and Session availability)

  • Deposit (requires a customer to pay up front before they can book)

  • Service Cost

Once completed, you will see this service available within the Category. If you need to adjust the details click the Edit button.

Note: Services are not be available to be booked unless you associate at least one member of Staff.

Add Session

Sessions are One to Many appointments. Click the Add Service button and enter the relevant information:

  • Service Name

  • Description

  • Photo

  • Start Time

  • Duration

  • Repeats

    • Daily

    • Weekly

    • Monthly

    • Custom Days

  • Buffer Time (restricts calendar for the Staff Member and Session availability)

  • Fee

  • Deposit (requires a customer to pay up front before they can book)

  • Staff

  • Seats

To adjust the Start / End Date and the Repeating Schedule you will need to create a new Service.

Note: You must associate one Staff member for the session in the configuration screen and turn the session on for it to appear on your booking website.

Add Staff

On the left side of the screen click on “Staff” then the “+ Add Staff” button to sync your staff from your Clover account.

For each Staff Member, you can add:

  • Weekly schedule

  • Picture

  • Services

  • Contact Information

Note: The email address used here will be the one sent booking confirmations

Adding Booking Link to Website

Navigate to the Settings page to find your appointment booking links.

These links can be added to your website as a plain link or as a button. You may need to work with a web developer if you are not familiar with how to add links to your website.

Booking an Appointment

Customer can use the booking link to add an appointment, and you can use that link too. If you'd like, you can add those links as a shortcut on your Computer, Tablet or Cell Phone.

Alternatively, you can book an appointment for a customer using the Book Online dashboard.

Which Clover Plans does Book Online work with?

Book Online can be used on any Clover Software plan, including Clover GO, Payments Plus, Register Lite and Register

Which Clover Plans does Book Online work with?

Book Online is 100% web based, which means that the only way to access this software is by logging into your Clover Dashboard from your computer or tablet.

Can I take a Deposit at the time of booking?

Yes, you can set the Initial Amount for each session / appointment type. The customer will need to make the payment before they can book.

How will my staff member know that they have a booking?

At the time of booking a confirmation email is sent to the customer and to the Staff member they booked with, it's important to make sure the Staff member is accurate. Staff can also see their appointments in their Book Online Dashboard by logging into the app.
