Set up Bottle Keeper to track your liquid stock using Clover

Introduction

Bottle Keeper reduces the time you spend on liquid inventory management by:

  • Mapping your liquid stock to the variations of how the item is sold

  • Automatically reducing the stock level when a drink is sold

  • Minimizing waste of liquid inventory

  • Eliminating manual entry errors

Prerequisites

To use this app effectively, you need to set up your Clover register to allow Bottle Keeper to handle the Stock items and have your Sales items in Inventory.

Turn Off Auto Decrement

By default, Clover manages your Stock through auto decrement. Bottle Keeper will do this for you, so you'll need to turn this setting off.

  1. Open Inventory app on your Clover Device

  2. Click Settings

  3. Uncheck Have Clover auto-decrement stock count

Set Up Your Inventory

Bottle Keeper assumes that you have Stock Items (hidden from Register) and Sales Items (shown in Register). To hide an item from the Register, turn off Show on POS in the Inventory page of the Clover Dashboard.

When you add Stock that will be tracked by Bottle Keeper, remember to set this as hidden from Register, even if you can sell that item itself in the Register:

e.g. Bottle of Pinot Grigio

Before you can map your Stock Items to Sales Items using Bottle Keeper, you'll need to enter the Sales items:

e.g. Small Pinot Grigio / Large Pinot Grigio

Mapping Stock to Sales Items

Now you are ready to map Stock Items to Sales Items:

  1. Log in to the Clover Dashboard

  2. Click the link for Bottle Keeper (you may need to click More > My Apps)

  3. Click the Add Mapping button

  4. Enter the Stock Item details:

    • Category = Wine

    • Stock Item = Bottle of Pinot Grigio

    • Quantity = 750

    • Unit = Milliliter

  5. Enter the Sales Item details:

    • Category = Wine

    • Sales Item = Small Pinot Grigio

    • Quantity = 125

    • Unit = Milliliter

  6. Click Add Sales Item

    • Category = Wine

    • Sales Item = Large Pinot Grigio

    • Quantity = 187.5

    • Unit = Milliliter

Can I sell Bottles / Measures from the same Stock Items?

Yes, to do this, create a mapping of the Stock Item (Unit = Bottle) and create a Sales Item (Unit = Bottle).

How do I map a Case of Beer to a Bucket of 5 Beers?

  1. Enter the Case of Beer to Inventory (hidden)

  2. Create Bucket of Beer in Inventory (shown)

  3. Add the Stock Item details:

    • Category = Beer

    • Stock Item = Case

    • Quantity = 12

    • Unit = Bottles

  4. Enter the Sales Item details:

    • Category = Beer

    • Sales Item = Bucket

    • Quantity = 5

    • Unit = Bottle

How is the Stock affected by a Sale?

Bottle Keeper automatically decreases your Stock by the unit used, for example, if you have 3x 750ml Bottles of Pinot Grigio and you sold 1 Large Glass, your Stock Item would show 2.75 Bottles of Pinot Grigio.

If you then sold 1x Bottle of Pinot Grigio, you would have 1.75 Bottles of Pinot Grigio.

The same would apply to selling Buckets of Beer. If you have 5 Cases of Beer (12x5 = 60 Bottles) and you sell one Bucket, your Beer Stock would show 4.6 Cases (55/60)*5

Turn Off Auto Decrement Message

Auto decrement allows clover to subtract sold items from inventory, since we are doing this for you it needs to be switched off or your stock counts will be wrong.

  1. Open Inventory app on your Clover Device

  2. Click Settings

  3. Uncheck Have Clover auto-decrement stock count
